A full-time (37 hours per week) temporary assignment, initially for two to three months, located in Shepton Mallet, Somerset. Our Client seeks an experienced, capable, and organised Administrative Officer who can support the Council’s Democratic Services Team, within the Law and Governance Department. Duties include the management, preparation and circulation of agendas, associated reports, attendance at Committees/Meetings/Project Groups and any associated briefings. Minuting decisions of the meetings. Followed up with the preparation of the minutes, feedback of decisions and actions for a variety of Committees. All duties associated with the democratic role of the meetings, ensuring thorough and effective outcomes within the parameters of both legislation and statutory/agreed deadlines. Communicating first-hand with members of the public and elected Members. You will also be the first point of contact for all enquiries to the Monitoring Officer, managing and prioritising communications on their behalf. In periods of “high demand” you will also provide administrative support response to access to information requests and a “second-line” support during election periods and at peak times to the elections service. Attention to detail and maintaining accuracy in all work is essential along with the ability to work well under pressure and the ability to use electronic systems (MS Office, Sharepoint, Outlook, Diary Management, Websites). Our Client is seeking a capable and experienced Administrative Officer, ideally with working knowledge of Democratic Services. However, they would welcome applications from experienced Secretaries / Administrators with meeting management/agendas/minute taking and reporting experience. You will be able to demonstrate accuracy and attention to detail in all undertakings, together with the ability to plan and manage your own workload on a day-to-day basis alongside time constraints and changing priorities. This role will require excellent communication skills (both written and spoken). Due to the nature of the role, communication skills will centre around tact, patience, diplomacy, and discretion. Working days and hours are 37 hours per week, typically Monday to Friday, 09.00 to 17.00 daily with some flexibility required to attend evening meetings on occasion (for example, once a month). The hourly pay rate for this assignment is £11.92 per hour. Free car parking is available.
